The importance of invitations
Invitations are written or verbal requests to attend formal or informal events to include ceremonies, parties, special events, galas, meals, or meetings. They are important as they serve three main purposes: Primarily, they inform invited guests of an event. Secondarily, they contain detailed information relevant to what’s to come. Thirdly, they generate excitement for the occasion.
What is invitation etiquette?
Invitation etiquette refers to customary codes of polite behavior used when creating invites and sending requests for people to attend events. Not only should invitations be welcoming, but wording should be chosen with care. Invitation etiquette extends to responding to invitations as well.
Three forms

- Physical invitations are traditional paper invites that are mailed or handed to recipients. These are typically used for special gatherings to include weddings, showers, milestone celebrations, and corporate events. While invitations can be simple or playful, such as for a child’s birthday party, they are also popularly used for formal affairs such as engagement parties and weddings. Paper invites should be chosen and designed with care, as they set the mood for the occasion. As a rule, bright designs and graphics are ideal for casual and cheerful events, such as a sweet 16 or company picnic. Elegant designs, such as lace edging and calligraphy, are largely reserved for upscale affairs. - Digital invitations are all the rage nowadays! Digital invitations are sent entirely online via email or a link. People tend to use a third-party digital service (such as Evite, Canva, and Shutterfly as popular examples) to create, send, and manage invites. Considered less formal than paper, and more formal than verbal invites, digital invites are a popular and affordable alternative to physical invitations. They are fast and easy to create, provide instant communication, offer design flexibility, and reduce environmental impact. Senders can provide links to registries, maps, hotel and tourist information, and keep track of guest lists and RSVPs. Guests can set reminders for the event via their smart devices. Digital invites are practical and sensible in instances where communications via computers reign. As a rule, know how well your guests are technologically connected before exclusively committing to digital invites. Should you go digital, you may be required to pick up the phone or send a written invite to non-computer users.
What goes on to an invitation?
Whether it be verbal, physical, or digital, the types of invitation chosen largely depend upon the level of the affair. Regardless of means of communication, providing information with clarity is of the utmost importance. Invitations should typically contain:
- Event description to include a brief yet clear explanation of the event.
- Date and time of event to ensure punctuality.
- Location to include the venue’s address.

Are RSVPs necessary?

On invitations containing RSVPs, invited guests must generally confirm their attendance by a specified date. If you are unable to confirm attendance by the date indicated, it is poor to ignore it. One may decline or reach out to the host to ask for an extension. Mind you, having a head count is essential for planning, so the latter is only acceptable in certain cases. For example, it is acceptable to ask for an RSVP extension if you know the host or person of honor well and your attendance is of significance to them. Should you extend, do follow up with a response by the new RSVP date. Never leave hosts hanging. If you commit to an event, it serves you well to attend as promised. It is in poor taste to back out at the last minute. Should an emergency arise forcing you to cancel, do inform the host as soon as possible. Note that most etiquette experts agree that it is only acceptable to cancel an RSVP if you are unwell or have a death in the family.
Timing of invitations
The timing of invitations to casual events is flexible. For informal gatherings such as dinners or parties, one to four weeks’ notice is typically sufficient. Formal events require longer periods of time between sending of the invitations and the event. Invitations to weddings, galas, and other formal parties should be ideally sent out six to eight weeks in advance. Destination weddings require additional timing, at 10 to 12 weeks. Bear in mind that if people are expected to travel, a save-the-date card is helpful to officially announce an event. Save-the-date cards are sent exclusively to guests who will be invited to an upcoming event. This extra planning time is valuable to guests for making travel arrangements and increases the likelihood of their attendance.
